Physical Inventory Entry 7 – Quality Assurance

As described in previous blog entries, the single most important aspect of a physical inventory is accuracy. In this blog series, we have discussed our approach to physical inventory planning. In the coming entries, we will review the process in greater detail.

Verasset inventory teams are formed and dispersed based on different roles and responsibilities. Each team is led by an Inventory Controller. Inventory Controllers have many responsibilities, which can be divided into 3 main components:

  1. First and foremost – Supervision of their inventory teams and interacting with onsite client representation
  2. Second – Maintaining the project schedule and addressing problems should they arise
  3. Finally – QUALITY ASSURANCE

Quality assurance procedures are identified in the project plan. The Inventory Controller, in conjunction with their team, performs and follows those procedures to test the quality and consistency of the work being performed.

At a high level, these can include (but are not limited to):

  • Spot checking areas and assets that have been counted
  • Reviewing data being collected
  • Comparing inventory data to existing data sources and reviewing variances
  • Validating labeling and placement alignment to established conventions
  • Obtaining client feedback

Information is collected periodically from all inventory personnel as the count progresses and consolidated onto the Inventory Controller’s laptop. This allows the Controller to measure quality and monitor progress ongoing. If one team is lagging behind, the Controller is also able to provide assistance by reorganizing team focus as needed.
